Giving tenants the gas safety record and EICR

When you add a new gas safety record or EICR to a let property, Abide.Rent gives the tenants a copy and asks them to confirm receipt.

Tenants must be given a copy of the gas safety record within 28 days of the check, and a copy of the electrical safety report (EICR) within 28 days of the inspection. Abide.Rent records when the copy went and when the tenant confirmed it.

Who this is for: letting agencies, landlords and tenants.

Certificates and when they were given

Each certificate shows whether the tenants were given a copy.

What you are deciding

Whether to give the copy through Abide.Rent straight away, or record that you gave it another way.

Your options

  • Give it through Abide.Rent (the default). Adding the record sends each named tenant an email and a portal notice. They open it, download it and press 'I have received it'. You see the date.
  • Hold it back. Untick 'give to tenant' when adding it, then use 'Give to tenant' later. Until then a 28-day deadline shows on the property.

A worked example

A gas engineer services the boiler at 12 Acacia Avenue on Monday 12 October 2026. The agent uploads the record the same afternoon. Both tenants get an email; one confirms receipt that evening, the other on Wednesday. The property's compliance tab shows 'Received 14 October 2026'.

What Abide.Rent does for you

  • Gives the copy to every named tenant on the current tenancy, by email and in their portal.
  • Records the date it was given and the date each confirmation came in.
  • Shows a 28-day deadline until a copy has been given.

If something goes wrong

  • “Only gas, EICR and EPC records are given to tenants”
What to do: Other documents are given another way.
  • “The copy cannot have been given before the check on …”
What to do: Check the date given.
  • “No tenant on this tenancy has an email address or an Abide.Rent account, so the copy was not sent.”
What to do: Add a tenant email, or give the copy on paper and record it as given outside Abide.Rent.

Common mistakes

  • Uploading the record before the tenancy starts and assuming the new tenants have it. Give it again once they are named on the tenancy.
