What changes for you

  • Live cases never go missing
  • Readable on any plan
  • Released only when the case closes
How it works in detail

Whoever pays owns the account. That is who invites people and sends the next notice. A notice already sent is like a receipt. Each party keeps their copy. That is what keeps us out of other people’s arguments.

If a notice has gone out, the tenant has gone to the tribunal, or a possession claim is attached, those records stay readable — even on Solo, even after a failed payment. We do not lock a live case.

What puts a file on hold

  • A notice has been served and is still live
  • The tenant has referred the notice to the tribunal
  • A possession claim has been recorded
  • An evidence record has been saved for a statutory deadline

After the hold ends

We keep the file for six years after it is finished, in line with the usual time to bring a contract claim in England. After that it is deleted or anonymised, as the privacy notice sets out. A tenant can still get their own copy.

Changing who pays, changing agent, or leaving does not break a live hold. The case keeps its documents.
