How it works in detail

A tenancy that has had two agents and a sale, with every notice still attached and dated, is what you cannot rebuild after a dispute starts. It is also what a messy change of agent usually loses.

The property file, rent history, notices and certificates stay with the home. The people around it change.

When the agent changes

The landlord keeps the file. The old agent keeps a read-only copy of the time they managed — they may need it; a notice they sent can be questioned years later. They cannot change or delete it. We flag what a new agent will ask for and has not yet got.

When the property is sold with a tenant in place

The tenancy continues. The buyer gets the rent history and the next allowed increase date. The seller keeps a copy of their time as owner. Until the buyer accepts, nothing moves, and the tenant sees no change.

When someone leaves, or nobody pays

You can export on every plan, including after a failed payment: the records, the original PDFs, how notices were sent, the rent history. Landlords are told their files are still there and can take over the bill. Tenants keep their own notices. Anything in a live case stays open.

We do not decide who owns the underlying data. The management agreement and the title do that. We decide who can run the account, and we will not take back documents that have already been sent.
