Control follows payment; evidence does not

Whoever pays runs the account. Documents already issued stay with each party, and a legal hold stays open.

The paying account controls the records it holds. That rule decides what happens when an agent changes, a property moves or an account closes.

Who this is for: letting agencies and landlords.

Managed by

Your properties and who manages each one.

What you are deciding

Who controls a property's record after a change.

Your options

  • The paying account. Runs the records: edits, notices, invitations.
  • Everyone who was sent a document. Keeps their own copy, whatever happens later.
  • Anything under legal hold. Stays readable on any plan.

How to do it

  1. Check Managed by on Your properties to see who controls each record.
  2. To move control, change agent or take the property over.
  3. Download any document you were sent; it stays yours.

A worked example

A landlord moves 12 Walmersley Road from Northgate Residential to another agency on 1 December 2026. The new agency controls the record from then. Northgate keeps a read-only copy of its own time, and the tenant keeps every notice they were sent.

What Abide.Rent does for you

  • Moves control with payment.
  • Never takes back a document already issued.

If something goes wrong

  • You can no longer edit a property
What to do: Another account now manages it. You keep a read-only copy of your own time.

Common mistakes

  • Expecting a payment dispute to remove a notice from the tenant's portal: it does not.
